This Privacy Policy explains what information we collect through velocityassistants.com (the "Site") and our related services (collectively, the "Services"), how we use and share it, and the choices and rights available to you.
By using the Site or our Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this policy, please do not use the Site or Services.
2. Information We Collect
2.1 Information you provide directly
We collect information you voluntarily submit when you:
- Fill out a contact, strategy-call, or "Book a Call" form (typically name, email address, phone number, company name, and details about your business needs);
- Subscribe to our newsletter (email address);
- Correspond with us by email, phone, or chat;
- Become a client and complete onboarding (which may include business information, tool/system access details, and billing contact information).
2.2 Information collected automatically
When you visit the Site, we and our service providers automatically collect certain technical information, including:
- IP address, browser type and version, device type, operating system;
- Pages viewed, time on page, referring/exit pages, and general usage patterns;
- Approximate location derived from IP address.
2.3 Information from third parties
We may receive limited information from third-party platforms you interact with (for example, if you submit a form through an embedded scheduling tool, or engage with our advertising on a platform like Google or Meta).
3. How We Use Information
We use the information we collect to:
- Respond to inquiries and schedule strategy calls;
- Evaluate your business needs and match you with a suitable virtual assistant;
- Provide, operate, maintain, and improve the Services;
- Send administrative communications (billing, service updates, policy changes);
- Send marketing communications, where permitted, with an option to opt out at any time;
- Monitor and analyze usage trends to improve the Site;
- Detect, investigate, and prevent fraudulent transactions and other illegal activity, and protect the rights and safety of Velocity Assistants and others;
- Comply with legal obligations.
4. How We Share Information
We do not sell your personal information. We may share information in the following circumstances:
- Service providers: vendors who perform services on our behalf, such as website hosting, email delivery, scheduling, customer relationship management, analytics, and payment/invoicing tools. These providers are authorized to use your information only as necessary to provide services to us.
- Assigned virtual assistants: when you become a client, relevant business information is shared with your matched virtual assistant so they can perform the delegated work. See Section 5 below.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction.
- Legal requirements: where required to comply with applicable law, regulation, legal process, or governmental request.
- With your consent: for any other purpose disclosed to you at the time of collection, with your consent.
5. Virtual Assistant Access to Your Information
Our Services involve matching clients with independent-contractor virtual assistants ("VAs") who perform delegated tasks. As part of onboarding, you may choose to grant a VA access to specific accounts, tools, calendars, or systems (for example, an inbox, CRM, or scheduling tool). You are responsible for determining the scope of access you grant and for revoking access when it is no longer needed (including at the end of an engagement).
Velocity Assistants requires VAs to agree to confidentiality obligations regarding client information as a condition of working through our platform. However, because VAs are independent contractors and not Velocity Assistants employees (see our Terms of Service), you should apply the same access-control discipline you would with any third-party contractor: use role-based/limited-scope credentials where possible, and avoid sharing information beyond what is necessary for the assigned tasks.
6. Cookies & Tracking Technologies
We use cookies and similar technologies to operate and improve the Site, including:
- Essential/functional cookies — required for core site functionality and performance caching;
- Analytics cookies — such as Google Analytics, which help us understand how visitors use the Site (page views, session duration, traffic sources);
- Advertising cookies — which may be used to measure the effectiveness of our marketing and, where applicable, to show relevant ads on other platforms.
You can control cookies through your browser settings, including blocking or deleting them. Blocking some cookies may affect Site functionality. Where required by law, we will request your consent before setting non-essential cookies.
7. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including to provide the Services, maintain business records, comply with legal and tax obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and the purpose for which it was collected. When information is no longer needed, we take reasonable steps to delete or de-identify it.
8. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
9. Your Privacy Rights
Depending on where you live, you may have rights regarding your personal information, which may include the right to:
- Request access to, or a copy of, the personal information we hold about you;
- Request correction of inaccurate information;
- Request deletion of your personal information, subject to certain exceptions;
- Opt out of marketing communications at any time (via the unsubscribe link in any email, or by contacting us);
- Opt out of the "sale" or "sharing" of personal information, or targeted advertising, where applicable (we do not sell personal information as defined under applicable state law);
- Not receive discriminatory treatment for exercising your privacy rights.
To exercise any of these rights, contact us using the information in Section 17. We will verify your request and respond within the timeframe required by applicable law.
10. California Residents (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), grants you specific rights, including the rights to know, delete, correct, and limit the use of sensitive personal information, and to opt out of "sale" or "sharing" of personal information. Velocity Assistants does not sell personal information and does not use or disclose sensitive personal information for purposes requiring an opt-out right beyond what is described here. You may designate an authorized agent to submit requests on your behalf, subject to verification.
11. EEA/UK Visitors (GDPR)
If you are located in the European Economic Area or United Kingdom, we process personal information on the legal bases of consent, contractual necessity, legitimate interests (such as improving the Site and preventing fraud), and compliance with legal obligations. You have the right to access, rectify, erase, restrict, or port your data, to object to certain processing, and to lodge a complaint with your local supervisory authority.
12. Do Not Track
Some browsers offer a "Do Not Track" signal. Because there is no common industry standard for responding to such signals, our Site does not currently respond differently based on a detected Do Not Track signal.
13. Children's Privacy
Our Services are intended for businesses and individuals aged 18 and older. We do not knowingly collect personal information from children under 13 (or the applicable age of consent in your jurisdiction). If we learn we have inadvertently collected such information, we will delete it promptly.
14. International Data Transfers
We are based in the United States, and information we collect may be processed and stored in the United States or other countries where our service providers operate. By using the Site, you understand that your information may be transferred to and processed in countries with different data protection laws than your home jurisdiction.

The Site may contain links to third-party websites or services (for example, scheduling tools or social media pages). We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.
